Accommodation
Hotel bookings are no longer available via the online registration form. Should you wish to make a new booking or make changes to an existing booking, please contact the hotel directly by using the contact form below.
If you are making a new booking request please remember to include in your message the following details: Arrival and departure date Bed type required (i.e. King or Twin). Please note the hotel will request your credit card details to secure the booking. In addition please also note that your booking or change is not confirmed until your receive the confirmation from the hotel.
Please note as per the terms and conditions of all accommodation bookings: All deposits are non - refundable if reservation is cancelled on or after the 28 August 2011 and will also be forfeited if you do not arrive on the date for which you have booked for. If you have used credit card details to guarantee your reservation please be aware a 100 precent cancellation and/or amendment fee will be deducted from the supplied card, by the hotel, if the reservation is cancelled or you fail to arrive on the specified date.
The Conference Managers have negotiated competitive room rates at the following hotels for delegates. All of the hotels are within easy walking distance to the venue.

How to Book Accommodation
To book, complete the Online Registration Form. The Conference Managers will forward your contact details, reservation and credit card details to the hotel of your choice.
Change of Booking and Early Check-out Fees
Any change to a reservation must be notified to the Conference Managers. Please note that any changes should be made to the Conference Managers by 28 August 2011.
If your accommodation is cancelled on or after the 28 August 2011, a cancellation fee equal to one night will be applied to the credit card used to guarantee your booking.
As of the 12 September, the Royal Pines resort will apply a cancellation fee or an early check out fee for any delegates who reduce their accommodation with Royal Pines Resort. This fee will be equal to one night’s full accommodation rate for each night reduced. All applicable check out fees will be retained by Royal Pines Resort.
Late Arrivals
Please indicate on your registration form or notify the Conference Managers in writing if you will arrive at your hotel after 18.00 hours as failure to do so may mean that your room will be released.
Check-in and Check-out times
Check-in time is generally 15.00 hours and Check-out time is 10.00 hours. Should you wish to guarantee check-in before 15.00 hours you will need to pre-book, and pay for the previous night. If you wish to guarantee a late checkout you will need to book for the next night. These additional nights can be booked at the time of making your reservation. If required please indicate on your registration form.
Hotel Check in Procedures
As per standard hotel policies and procedures attendees will be required to provide a credit card or full cash payment upon check in. This is to cover any incidental charges incurred during your stay and all remaining unpaid room nights, regardless if your booking was guaranteed by a credit card to secure your booking.
The hotel will hold on your credit card, until point of check out, all unpaid accommodation nights reserved plus a daily amount for incidental charges. If you will be settling your accommodation account by cash you will be asked to pre pay for your accommodation in full plus a cash deposit for incidentals. Should you not utilize any incidentals during your stay the cash deposit, for incidentals only, will be refunded to you by the hotel upon check-out. Please note the daily incidental charge may vary across the listed hotels.
Upon check out at the hotel, using your credit card to settling your account may incur a credit card surcharge.
Group Bookings
If your organisation would like to make a group booking at a hotel/s not listed on this website the Conference Managers can secure rooms and negotiate group rates on your behalf with the hotel of your choice. With a large network of hotel contacts our experienced staff are able to ensure all your needs are met and your booking is managed efficiently.

Accommodation Cancellation and Refund Policy
Reservations cancelled on or after 28 August 2011, a cancellation fee equal to one night will be applied to the credit card used to guarantee your booking.
Reservations cancelled on or after 12 September 2011 or that do not arrive for the reserved date will be subject to a 100% cancellation fee.
All applicable cancellation fee monies and early check out fees will be charged and retained by the Royal Pines Resort.
